About the position:

We are looking for a responsible Office specialist/manager who will perform organization and coordination of administration duties and office procedures. You will help us to create and maintain a proper work environment to optimize our organizational effectiveness, communication and safety. Your responsibilities will include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.

Responsibilities:

  • Regular monitoring of the condition of rooms and equipment in the office; arranging necessary repairs
  • Contact person for office vendors, service providers and office lease (supervision, negotiation)
  • Proposing solutions/procedures to improve the functioning of the office
  • Supplies arrangement: food products, chemicals, office equipment, furniture (inventory, analysis of needs, ordering, picking up and unloading purchases)
  • Receiving and sending mail and courier services
  • Business travel coordination (booking, settlement of business trips, documentation, reporting)
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Responding to employees’ queries / directing them to relevant support departments
  • Providing support to visitors
  • Cooperation with the Marketing department in terms of office branding
  • Creating project proposals in the field of office management
  • Administrative support for the HR department
  • Coordination of the flow of employee documentation
  • On-site recruitment administration

Requirements:

  • 2+ years’ experience of working in a similar position
  • Good experience with office administrator responsibilities, systems and procedures
  • Good practical experience with office machines and MS Office, Google Docs
  • Strong time management skills and ability to multi-task and prioritize work
  • Strong organizational, planning and problem-solving skills with attention to detail
  • Excellent written and verbal communication skills both in English and Polish, with a creative approach to problems
  • Additional qualification as an Administrative Assistant or Secretary will be a bonus
